Trickstars Academy Privacy Notice – Supplement to Kajabi Privacy Notice

This Privacy Notice (the “Supplement”) explains how Trickstars Academy (“we”, “us”, “our”) handles your personal data as the data controller when you use our courses, memberships, downloads, coaching and related services delivered via the Kajabi platform (the “Platform”).

This Supplement adds to and works alongside Kajabi’s Privacy Notice. Where Kajabi collects or processes data to run the Platform, Kajabi acts as our service provider/processor and its Privacy Notice applies. Where we decide what personal data is collected and why, we act as the controller and this Supplement applies. If there is any conflict, the document that offers more protection for you will apply.

1) Who we are (Controller) & how to contact us

You can contact us to exercise your data rights set out below.

2) What we collect as controller

In addition to the data Kajabi collects to operate the Platform, we collect and use:

  • Account & identity data: name, email, password (hashed by Platform), profile info.
  • Purchase & enrolment data: products purchased/enrolled, dates, coupons, fulfilment notes.
  • Payment status data: paid/failed/refunded amounts, method type (card/PayPal/Apple/Google Pay) as reported by our payment processors. (We do not see full card numbers.)
  • Learning activity data: course/module progress, completion dates, quiz scores, certificates issued, community interactions.
  • Communications data: your messages to us (email, forms, in-app messaging), support history, survey responses, testimonials (if you consent).
  • Marketing preferences: your opt-in/out choices for email and cookies/analytics.
  • Device/usage data: IP, device type, browser, approximate location and session activity for security, fraud prevention and analytics (collected via the Platform and our analytics tools).

3) Why we use your data (purposes & legal bases)

  • Deliver what you bought or signed up for (contract): create your account, enrol you, provide course/community access, issue certificates, handle support and service notices.
  • Take payment and manage orders (contract/legitimate interests; legal obligation for records): process renewals, refunds, VAT/invoicing.
  • Run, secure and improve our services (legitimate interests): troubleshoot, prevent abuse/fraud, measure engagement, improve content and UX.
  • Send service emails (contract/legitimate interests): enrolment confirmations, access instructions, product changes.
  • Marketing with your consent (consent/soft opt-in where allowed): newsletters, offers, launches. You can unsubscribe anytime from email footers or by contacting us.
  • Comply with law (legal obligation): tax/accounting, consumer protection, regulatory requests.

4) Who we share data with (recipients)

We share only what’s needed with trusted providers to run the business:

  • Platform provider: Kajabi (hosting, course delivery, communities, email tools). See Kajabi’s Privacy Notice for its processing as our provider/processor.
  • Payments: Stripe and/or PayPal for transaction processing and fraud prevention. We receive payment status data but not full card details. Your card details are handled under PCI-DSS by the payment processor.
  • Email & support tools: email delivery, helpdesk and survey tools.
  • Analytics & cookies: tools that help us measure site/app performance and usage (see Cookies).
  • Professional advisers & legal: accountants, lawyers, regulators where necessary.
  • Transfers due to restructuring: if we sell/merge our business, your data may transfer to the new owner under the same protections.

We do not sell your personal data.

5) International transfers

Kajabi and some providers may be outside the UK/EEA. Where your data is transferred internationally, we rely on valid transfer mechanisms (e.g., adequacy decisions, standard contractual clauses, or participation in the EU-U.S./UK Data Privacy Framework as applicable by those providers).

6) Cookies & similar technologies

We and our providers use cookies and similar technologies for core functionality, preferences, performance, and analytics. You can manage cookies in your browser and (where available) via our cookie banner/settings. Note: some features won’t work without certain cookies. Our previous policy described the use of cookies and web analysis tools; this continues on the new Platform.

7) Children

Our services and communities are for adults (18+). We don’t knowingly collect data from children under 18. If you believe a child has provided personal data, contact us to delete it. (Kajabi also requires users to be 18+.)

8) How long we keep data

We keep personal data only as long as needed for the purposes above, including:

  • while you have an active account or ongoing access;
  • for legal/accounting records (typically 6–7 years in the UK);
  • for the establishment, exercise or defence of legal claims.

We then delete or anonymise it.

9) Your rights (UK/EEA)

Subject to exceptions, you can access, rectify, erase, restrict or object to processing, and request data portability.
Where we rely on consent, you can withdraw it at any time (this won’t affect past lawful processing).
To exercise rights, contact us using the details above. You also have the right to complain to the UK ICO or your local supervisory authority.

10) Security

We maintain appropriate technical and organisational measures to protect personal data (e.g., encryption in transit/at rest where applicable, access controls, least privilege, monitoring). Remember that no Internet transmission is 100% secure; please take care with what you share. Payments remain handled by PCI-DSS compliant processors.

11) Marketing choices

You can opt-out of marketing emails at any time via the unsubscribe link in our emails or by contacting us. Service and transactional emails will still be sent as needed to run your account.

12) Changes to this Supplement

We may update this Supplement from time to time. We’ll post the new date at the top and, if changes are material, we’ll notify you via the Platform or email. Updates take effect on posting unless stated otherwise.

13) How this works with Kajabi’s Privacy Notice

  • Kajabi’s Privacy Notice covers how Kajabi processes data to operate the Platform (e.g., hosting, account infrastructure, Platform analytics, security).
  • This Supplement covers how The Trickstars uses your data as the controller for our business purposes listed above.
  • If you contact Kajabi about controller-level rights for data we control, Kajabi may direct you to us. If your request relates to Kajabi’s role, Kajabi will handle it under its policy.
